About the Role
The Front Office Specialist plays a key role in shaping the patient experience. This position serves as the first point of contact for patients, ensuring every visit begins and ends with professionalism, accuracy, and care. The role combines customer service with administrative responsibilities to keep daily clinic operations running smoothly. Work is primarily based in a clinical or office environment, with occasional travel to other locations if required.
Key Responsibilities
Greet patients in a friendly and professional manner and provide a positive first impression
Answer incoming calls and assist both internal and external inquiries
Support patient check-in and check-out processes
Verify insurance authorizations and maintain accurate patient records
Collect payments and process transactions according to office procedures
Coordinate patient flow to reduce wait times and improve efficiency
Complete daily cash drawer reconciliations and end of day reports
Follow all company policies including HIPAA and patient privacy rules
Perform general front office and clerical duties as assigned
Qualifications
At least one year of experience in a customer facing or patient service role
Medical office experience is preferred and ophthalmic experience is highly valued
Strong communication and interpersonal skills
Ability to multitask in a fast paced environment
Must pass required background checks
Must be legally authorized to work in the United States
Education
High school diploma or GED required
Technical Skills
Working knowledge of Microsoft Word, Excel, Outlook, and PowerPoint
Physical Requirements
This role requires frequent walking, standing, sitting, bending, and reaching throughout the workday. The employee must be able to lift and carry items up to 25 pounds and use computers, phones, and office systems regularly. Good vision, hearing, and hand coordination are essential for handling patient interactions and administrative tasks.
